What we do with your data.

The controller of your personal data is Fundacja Równa Pomoc w Edukacji, the Polish foundation that operates internationally as Equal Education Foundation. These are the same organization, not two separate entities.

We have not appointed a Data Protection Officer. For anything concerning your personal data, write to contact@equaleducationfoundation.com and a person will answer you.

We collect personal data from visitors in three places on this site. We do not buy data, and we do not combine what you give us with data from other sources. Foundation staff and regional leads have accounts here too, covered further down.

Scholarship applications

Your name, email address, the country you are applying from, and your description of your situation. We use them to decide whether we can award you a scholarship and to contact you about it.

The situation field is free text. People often describe family finances, illness, or other difficult circumstances there. Please share only what you are comfortable sharing. We ask for enough to judge the application fairly and no more.

Country Director applications

Your name, email address, the country you would lead, your LinkedIn address if you give one, and your motivation. We use them to assess your application and to talk to you about it.

Partner enquiries

Your organization's name, your name, your email address, your website if you give one, and your message. We use them to answer you and to explore working together.

For all three forms we rely on your consent, given by ticking the box before you submit, under Article 6(1)(a) of the GDPR. You can withdraw that consent at any time by writing to contact@equaleducationfoundation.com. Withdrawing it does not affect anything we did lawfully beforehand.

Separately, we rely on our legitimate interest under Article 6(1)(f) to keep this site secure and to prevent abuse of the forms, and on legal obligation under Article 6(1)(c) where accounting or tax law requires us to keep a record.

Submissions are stored in Google Cloud Firestore and reviewed by the foundation team members responsible for that program. Google acts as our processor under a data processing agreement and does not use your data for its own purposes.

Country Director applications are also copied into a notification email so a person sees them promptly. That email contains the whole application, including what you wrote about your motivation, and it is sent to the foundation's Polish inbox through an email provider acting as our processor. A copy of the message is held in our database until the email has been sent.

We do not sell your data. We do not share it with advertisers. We share it outside the foundation only where the law requires it.

• Scholarship applications: for the school year the application concerns and twelve months afterwards, then deleted.
• Country Director applications: twelve months from submission, then deleted.
• The notification copy of a Country Director application: deleted once the email has been sent.
• Partner enquiries: twenty-four months from our last contact with you, then deleted.
• Records we must keep for accounting or tax reasons: for as long as that law requires, and no longer.

Foundation staff and regional leads have accounts on this site. We process the email address and password used to sign in, an account identifier, and the name and email held against the account's role. Password handling and password-reset email are provided by Google as our processor. We never see your password.

Reports and requests submitted through the staff area are stored with the account that wrote them, so that the team can see who filed what. We keep these for as long as the person works with the foundation, and for two years afterwards for continuity of the programmes they ran.

Under the GDPR you can ask us to:

• tell you what data we hold about you, and give you a copy;
• correct anything that is wrong;
• delete your data;
• restrict how we use it;
• send it to you or another organization in a portable format;
• stop processing it where we rely on legitimate interest.

Write to contact@equaleducationfoundation.com. We answer within one month. If you think we have handled your data badly, you can complain to the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych) in Warsaw.

Nothing about you is decided automatically. Every scholarship application and every Country Director application is read and decided by a person. No algorithm scores you, ranks you, or filters you out before a human sees it.

If you accept analytics, Google's analytics service groups visitors into pseudonymous audiences to produce usage statistics. That never touches how an application is judged, and we cannot identify you from it.

Your data is stored on Google Cloud infrastructure. Where processing involves a transfer outside the European Economic Area, that transfer relies on the European Commission's standard contractual clauses, which oblige the recipient to protect your data to European standards.

We run no advertising cookies on this site, we sell nothing to advertisers, and we place nothing in your browser for marketing.

We would like to use Google Analytics for Firebase to understand which pages people find useful. It sets identifiers in your browser, so we ask first. Analytics stays switched off unless you accept it, and declining costs you nothing on this site.

Analytics data is processed by Google, which may involve a transfer outside the European Economic Area under the safeguards described above.

You can change your mind at any time by clearing this site's data in your browser, which resets the choice and asks you again.

If we change how we handle personal data, we update this page and change the date at the top. Material changes affecting people who have already applied will be sent to them by email.
